A form can look finished while the business process behind it is still held together by email, copy-and-paste and somebody’s memory.
Intake is becoming connected. Finovate recently reported on an agentic account-opening workflow integrated with Schwab. That US wealth-management example is not evidence for Australian SME outcomes; it is simply a current market signal that form submissions are being treated as the start of governed work, not its endpoint.
For an Australian SME on Microsoft 365, the useful question is when connected, AI-assisted intake earns its keep.
What “AI-native intake” should mean
AI-native intake does not mean letting a model approve a supplier or overwrite a customer record. It accelerates design while keeping fields, validation, permissions, owners and workflow explicit. Forms365 calls its capability AI-assisted form generation. Let AI propose the draft; the business still owns the schema, evidence, destination and exception path.
Forms365 vs generic form builders
Generic form builders are excellent when the job ends at collection. Tally and Typeform suit polished standalone forms; Jotform offers a broad template and integration ecosystem; Microsoft Forms is the obvious lightweight option for many Microsoft 365 users. Power Apps is more suitable when the requirement is a broader custom business app rather than a focused SharePoint form. Check each vendor’s current pricing, data handling and connector limits.
The trade-off appears after submission. If staff must re-key answers into SharePoint or chase an approver, the cheap form may create expensive handling work.
Forms365 is narrower by design. Its public pages describe two products:
- Forms365 Workspace replaces the default SharePoint list form with a no-code designer, conditional logic and AI-assisted form generation. It deploys inside a Microsoft 365 tenant.
- Forms365 Web publishes forms at a public URL, does not require the respondent to hold a Microsoft account, and can save submissions to SharePoint. Listed connections include Power Automate, Make and Zapier.
It earns its place when SharePoint is already the governed destination.
SharePoint form builder choices for Australian SMEs
“Form builder Australia” searches often bundle together very different jobs. A marketing survey needs a good respondent experience. A SharePoint form automation process also needs column compatibility, permission boundaries, workflow ownership and recoverable failures.
Two quirks deserve attention. SharePoint access is inherited unless you deliberately design otherwise, so a tidy form does not fix an overexposed list. And flows tied to one employee’s connection can fail when that account changes or loses access. Use a managed workflow identity where appropriate, document ownership, and send failures to a monitored queue. Fields such as person pickers, managed metadata and linked lists also need real test data; they are not interchangeable with plain text boxes.
AI can propose structure. Microsoft 365 permissions and tested workflow rules should decide who can see, change and action the record.
Five tests before choosing connected intake
- Working record: if it will be assigned and audited, create it where that work occurs—not in emailed CSV files.
- External access: public forms remove account barriers but need validation, spam controls and a clear privacy notice.
- Business logic: keep rules explainable and route consequential decisions to a person or deterministic rule.
- Exception ownership: name the team and recovery step for incomplete, duplicate or failed submissions.
- Measurement: baseline incomplete records, review delay and manual re-entry before promising ROI.
A form intake workflow for Australian businesses
No customer result is implied: verified local outcome data was unavailable. A common supplier-onboarding pattern is to define the SharePoint record, expose only supplier fields, route it to a named owner and put exceptions in a visible queue. A person reviews AI-generated fields and rules, then tests ordinary, incomplete, duplicate and malicious-looking submissions.
Cost: compare the whole intake path
At the time of writing, Forms365 pricing is in USD monthly: Workspace is US$149 up to 25 users and US$299 up to 100; Web ranges from free for five forms and 100 responses to US$199 for unlimited forms and responses. A 14-day trial is advertised.

These are not feature-equivalent products. The table shows why seat count, data destination and app scope matter more than the headline price.
A generic form wins when collection is genuinely standalone. Connected intake wins when it removes a fragile hand-off into a system your team already governs.
Privacy and security for Australian businesses
Start with the Australian Privacy Principles, and obtain legal advice where your obligations are unclear. In practical engineering terms:
- collect only data needed for the stated purpose and explain its use;
- restrict list, attachment and workflow access by role;
- separate public submission from internal approval permissions; and
- define retention, log changes and review any AI path for personal information or overseas disclosure.
Forms365 says business data stays in the customer’s SharePoint tenant and that its legal vendor, Forms 365 by DevPros, does not store it on Forms365 servers. DevProStudio is the publisher of this article; the product site names DevPros as the Forms365 vendor. That is useful architecture, but it does not remove the customer’s responsibility. Tenant configuration, permissions, sharing settings, workflow connectors and downstream exports still matter.
The decision
Do not buy “AI” for three questions and an email notification. Choose the smallest architecture that keeps the hand-off reliable. If SharePoint is already the operational record, AI-assisted design plus deterministic workflow can be a sensible, inspectable middle path.
